Artlogic private views: how to keep the works after the link closes
More galleries send an Artlogic private view link instead of a PDF. Links get taken down after the show. How to keep a copy of every work you were offered.

Many galleries run their inventory on Artlogic, and more and more of them send collectors and advisors a private view link rather than a PDF. The link opens a clean online page: the works, their images, captions and often prices and availability.
That is handy on the day, and less so a month later, when you want to check what a work was offered at and the gallery has unpublished the page.
Why links disappear
A private view belongs to the gallery. Galleries take them down after a fair or a show, update them when works sell, or reuse the same address for the next presentation. That is normal practice, but it means the link in your inbox may one day open on something else, or on nothing.
Three ways to keep a copy
- Ask for the PDF as well. Most galleries can export the same selection as a PDF. Ask for it when you reply, especially for works you are considering for a client.
- Print the page to PDF.Your browser's print dialog can save the page as a PDF. Scroll to the bottom first so every image has loaded. It works, but the result is often long and hard to search.
- Import the works into your own catalogue. Copy each work you care about into a spreadsheet or a collection tool with its caption, price, currency and the date you received it. This is the only option that lets you compare across galleries later.
What to record for each work
- artist, title, year, medium and dimensions;
- edition, for prints, photographs and sculpture;
- the price exactly as shown, with its currency, or “price on request”;
- availability on the day you looked (available, reserved, sold);
- the gallery, the show or fair, and the date of the link.
Doing it with Vitryne
Paste an Artlogic private view link into Vitryne and every work on the page is imported with its image, caption, price and availability, into the same catalogue as your PDFs. It stays there after the gallery takes the link down. If you also work in Artlogic yourself, you can export any selection back in Artlogic's import format.
